Office Operations Administrator (Temp)

Reports to: Supply Chain Manager

Job Summary: This position will work closely with Supply Chain, Admin and Accounting on a part-time basis to provide assistance and support to several key projects and work tasks. The OA will rotate across departments as scheduled, providing time to train in each area, while completing work that contributes to the success of the business function.

Essential Functions:

General Supply Chain/Administrative

  • Daily distribution of mail, organization of conference rooms, office supply, purchasing and lobby area
    • Ensure all areas are neat and tidy. All supplies are stocked and all equipment placed back on their chargers
    • Contact cleaners as needed to wash tables, vacuum floors, etc.
    • Place requisitions as needed
  • Maintenance of Xerox area’s
    • Place ink/toner and paper orders as needed.
  • Complete daily inventory of Kitchen and Café supplies and refill supplies as needed
  • Monthly ordering and invoice coding for Coffee supplies
    • Load shipment into purchasing area upon arrival
  • Create and issue purchase requisitions with various departments
  • Receive approval and code Purchasing invoices for payment
  • Sourcing of materials for projects as requested by project manager
  • As needed items include: expense reporting, ordering lunches, restocking of first aid supplies, etc.
  • Other projects and purchasing duties as assigned

Accounting Responsibilities

  • Weekly sending of AP mail (signed and coded)
  • Assistance with invoices, spreadsheet tracking, obtaining signatures, general coordination of payment process through completion.
  • Understand, maintain and perform work according to quality, health, safety and environmental standards
  • Perform other duties assigned

Education and Experience:

  • Associates or Bachelor’s Degree preferred
  • Administrative or Office Coordination experience preferred
  • Microsoft Word and Excel
